Design the large-scale conference room in consideration of multipurpose use.
A lot of people worried whether both scrambled for the customer when two large-scale facilities such as Tokyo Big Sight and Tokyo international forum in were constructed. 

However, such a competition is not actually caused. 
Tokyo international forum is often used for the concert and the musical. (To begin with, the forum is designed like this. )。

Well, there is a conference building of peculiar shape to make the pyramid inverted in Tokyo Big Sight. 
In that, there are a international conference room where 1000 people can be accommodated and some conference rooms of medium scale. 

Considerably highly developed equipment is arranged in the international conference room. As the conference room in the exhibition center, high quality equipment seems to be difficult to use its performance  completely . 

So, I want to design a large-scale conference room in the ideal exhibition center upon such reflection. 

In many cases, the conference room at the exhibition center is used as the seminar room.
The conference facilities were installed in the exhibition hall in this center. Therefore, the promoter is sure to use the conference room in the hall for the seminar at first . 

Then, a large-scale conference room on the hotel side is assumed to be often used regardless with the exhibition.
In fact, the conference facilities in Tokyo Big Sight are often used in Medical Science Association etc.

The conference room is set up at a position which is not so high.

If the conference facilities are put in the structure of the high floor type like Tokyo Big Sight, the entrance way becomes long by all means. I advise you that you should not install a big conference room too much high position. It is inconvenient also for carrying such as materials. 
As for the assumption at this time, I thought about the position of room  30m-40m from the ground. The high floor type is not adopted. You can set many access path if you arranges the room in the upper layer floor in the business building. It comes to be able to use the elevator for luggage combined with the business building. 
And it is adjacent with the station of the commuter transportation so that those who come can enter easily. Cooperation with the restaurant at the hotel etc. should be considered. 

It is necessary to be able to use the room excluding the conference. 

For instance, it is likely to be used to relay the variety show etc.
Therefore, the passage is widened. It is necessary to clear the standard of the box-office act  (performance of air-conditioning and arrangement of the rest room, etc.). The communication equipment is prepared though the studio is unnecessary. To arrange the line, the scuttle of the opening and shutting type is applied to the fire prevention door etc.
The stage is made large. The screen is also necessary for the movie. However, because it is not a movie theater, consideration is required for the installation of the projector. 
OHP (Overhead projector) etc. are often used. 
At the academy speech etc. , the speaker is often explained using the personal computer at his hand with PowerPoint.
Such a usage should be able to be done. 

Set up the big chairs. 

The foreigner also participates in the lecture. Therefore, you must prepare the large size chairs. The surface of chair might be good in case of leather (Even the fake is acceptable) so that you can maintain them easily. 
Do not forget space for Wheelchair (Be careful about the difference in level of the passage. ). 

Big window is necessary. 

The window does not need to the assembly hall. However, when people have been confined in such an assembly hall at long time, feeling of open comes to be obtained strongly by all means. 
Then, the passage is installed around the assembly hall, and a big window is applied there. 

Simultaneous interpreter booth?

Though I said that the foreigner also is coming, let's carefully examine the installation of the interpreter booth. 
The interpreter booth is prepared in Tokyo Big Sight. But that is not used so many times. Because, there are not a lot of interpreters who have the ability as possible to be interpreted simultaneously. Personnel expenses are also high. it is easy in case of only English, but all of the foreigners who have come can not understand English. 
Such a method is good that you prepare the booth for the multipurpose use,  and when the simultaneous interpreter is needed, that booth is used for it .

Even the amateur should be able to use equipment for the illumination and broadcasting. 

When a high-grade lecture is held, a grand preparation is necessary. The amateur can not operate such equipment. 
However, if the expert is called, it costs personnel expenses for tens of thousands of yen a day merely to turn the light or emit the sound. Then, special equipment would  not be used. 
Therefore, prepare the simple equipment which even the amateur can use separately. 
It is convenient if there is a mechanism that the spotlight of the ceiling can be operated remotely. 

Acoustic efficiency is important. 

Note acoustic efficiency because the conference room is a closed space.
In case of the room for the concert and the room for the conference, the acoustic design is different. Let's give a clear-cut attitude for the conference if it is not possible to coexist. 

The escalator hall is needed for the safety. 

It is usual in the conference facilities to install the lobby for smoking. However, do not forget the space of the getting off the escalator. When a lot of people have surged, they falls over like dominoes if this space does not exist. 
Consideration enough as for the criticism passage of the emergency is necessary though it is needless to say. 
The carpet is pasted to the floor. That should not be a special order. Because a lot of people go in and out, the carpet becomes dirty fast. The stain attaches soon if coffee is spilt.
Choose the carpet sold in large quantities with the shade thick so that dirt should not stand out. 

Additionally, if money is spent in the assembly hall, it is possible to keep high-level even very much. Facilities might not be used easily oppositely when many money is spent. 
It is necessary to note so as not to become a overcapacity. 
There are not a lot of conferences to which 1000 people gather. It is important to have a lot of frequencies offered. Because it takes the maintenance expenditure even if there is no use at all.

Lets examine the management of this large-scale conference room. If you obtain the agreement, I think that it is more better to consign the management of a large-scale conference room to the hotel additionally other medium scale conference rooms (in the business building). 
Anyway, people are necessary for the care of such facilities. The management of the conference room is greatly different from the management of the exhibition hall which mainly do the promoter.
